A resignation letter is the document by which an employee informs the employer of the decision to leave the job. This resignation letter template sets out the essential content; the required form, the resignation notice period and the end-of-service documents differ from one country to another.
What every template should include before you sign.
Employee's full name and address; employer's company name and address, with the addressee of the letter (management or human resources).
Job title, type of contract (open-ended or fixed-term) and hiring date, since length of service often determines notice and end-of-service entitlements.
A simple, unconditional sentence announcing the resignation. Reasons are optional; hesitant or conditional wording weakens the letter.
Date and place of signature. Together with the date the employer receives it, it marks the start of the notice period.
Applicable notice under the law, collective agreement or contract, planned last working day and, where relevant, a request to waive or shorten notice.
Work or service certificate, final settlement of sums due and, depending on the country, administrative certificates and end-of-service gratuity.
Commitment to hand over ongoing files and return equipment, badges and company documents before leaving.
Handwritten or electronic signature as the law allows; some countries require a certified signature, official certification or an online procedure.
Hand delivery against a signed receipt, registered mail with acknowledgment of receipt or filing on the official platform, to date the notification.
